The following terms and conditions provide a framework for an Umrah package offered by a travel agency,

1. Terms and Conditions

Agreement: A binding Electronic agreement is formed, once the customer accepts this quote electronically, pays a deposit to the bank and submit the deposit slip, and the agency issues a Booking Confirmation Invoice.

Lead Passenger Responsibility: The person making the booking ("Lead Passenger") is responsible for the behavior of all persons in their party and ensuring all members receive relevant travel documentation.

Non-Leisure Pilgrimage: Customers acknowledge that Umrah is a religious pilgrimage, not a leisure holiday. It involves crowded conditions that may affect transport and public services beyond the agency's control.

Accommodation: the number of PAX are depend on the available offer for double, triple and quad, the passengers is sibling on the request room and equal to required number of person per room, if not, both same gender in one room, otherwise they will pay full charged in one room.

2. Financial Terms

Deposits: A deposit of 50% is typically required upon registration and confirmation of the booking.

Full Payment: Full payment must be received by a specified deadline, often 40–45 days prior to departure. Failure to meet this deadline may result in automatic cancellation and loss of deposit.

Price Fluctuations: Package prices are subject to change due to airline fuel surcharges, currency fluctuations, or new government taxes (such as VAT or municipality charges) even after booking.

3. Cancellations and Refunds

Standard Cancellation Fees:

60+ days before: Full refund minus a small administrative fee (2%).

30–59 days before: ~50% to 70% refund of the total package cost.

15–29 days before: ~25% to 50% refund.

Less than 15 days / No-show: No refund issued.

Non-Refundable Components: Airline tickets (Purchase non-refundable ticket), visa processing fees, and insurance are generally non-refundable once issued.

No-Show Policy: 100% of the total amount is charged for no-shows or early departures.

Flights Cancel by Airlines: base on airlines refund policy, when airlines cancel their flights, the airlines refund 100% airfare amount, if your ticket was purchased in a 3rd party platform the agency will facilitate the refund, according to their refund policy.

4. Visa and Documentation

Passport Validity: Passports must be valid for at least six months from the date of travel and contain at least two blank facing pages.

Visa Approval: The agency acts as a facilitator. It is not liable for visa rejections by the Saudi Embassy or Ministry. In case of rejection, standard cancellation fees apply.

Nusuk Platform: For the season, all pilgrims must have an approved Umrah permit and registered hotel/transport bookings via the Nusuk platform.

Mahram Requirements: Female travelers and children must be accompanied by a legal guardian (Mahram) according to Saudi regulations.

5. Health and Safety

Mandatory Vaccinations: Proof of Meningococcal Meningitis vaccination (issued at least 10 days before travel and no older than 3 years) is mandatory.

Health Insurance: Comprehensive health insurance is a mandatory component of the Umrah visa, covering emergency medical costs and repatriation.

Safety Protocols: Pilgrims must follow 2026 safety guidelines, including crowd management instructions and health advice regarding heat stroke.

6. Agency Liability and Force Majeure

Third-Party Services: The agency acts only as an agent for airlines, hotels, and transport providers. It is not liable for service failures, delays, or injuries caused by these third parties.

Force Majeure: The agency is not liable for failure to perform due to "Acts of God," war, strikes, epidemics, or sudden government regulatory changes.

Itinerary Changes: The agency reserves the right to make minor itinerary adjustments or substitute hotels of a similar category due to overbooking or local circumstances.
